State which question the material supports and which uses remain outside scope. Sharing an evidence pack does not authorise its use for every subsequent decision.
Keep the version and context attached
Identify the source records, review scope, date and relevant version. Preserve limitations and open conditions alongside any summary.
Identify the recipients and responsibility
Use the appropriate access conditions for the information. Protected evidence and confidential operating material do not belong in a public download.
Preserve correction and renewed review
When the underlying record changes, identify who needs to know and whether the earlier use should be reconsidered. A published copy is not a substitute for a controlled source record.
